Attention State Presidents
By completing and submitting this Agreement, the official NSNA state constituent association agrees to use membership data solely for the purpose of communicating official state association business to its members.
The state association further agrees that membership data will not be shared, disclosed, sold, transferred, or otherwise released to any third party. Access to and use of the data shall be limited to authorized representatives of the official state association and used exclusively for state association purposes.
When using member email addresses for broadcast communications, the state association acknowledges that NSNA strongly recommends the use of email software or online platforms specifically designed for mass email distribution. To protect member privacy and prevent the inadvertent disclosure of email addresses, the state association agrees to use the blind carbon copy (BCC) function or other appropriate safeguards that prevent recipients from viewing one another’s email addresses.
The state association understands and agrees that all broadcast email communications sent to members must include an unsubscribe notice. The notice must provide a valid state association email address through which members may request to opt out of future communications.
The state association acknowledges that NSNA reserves the right to monitor the use of membership data provided to state associations. If NSNA determines that a state association has disclosed member data to any third party or otherwise violated the terms of this Agreement, NSNA may immediately suspend the release of membership data to that state association pending review by the NSNA Board of Directors. The state association further understands and agrees that NSNA, in its sole discretion, reserves the right to approve or deny any request for membership data.
By signing and submitting this Agreement, the state association acknowledges receipt and understanding of NSNA’s policy regarding the release and use of state membership data and agrees to comply with all requirements set forth herein.
By signing below, I certify that I am authorized to request membership data, including member email addresses, on behalf of the STATE ASSOCIATION through NSNA reports.
I have read, understand, and agree to comply with the terms of the NSNA State Membership Data Access Policy and Agreement. This Agreement must be completed and submitted annually and whenever a newly elected state board of directors assumes office. I further certify that a current roster of the state association’s Board of Directors is attached.
